To change your tax withholding, complete Form W-4, Employee's Withholding Allowance Certificate. The form is available from your timekeeper, payroll coordinator, or personnel office. When completing the W-4, be certain that you include your Social Security Number. Return the completed, signed form to your timekeeper, payroll coordinator, or personnel office for processing. The IRS Withholding Calculator helps you identify your tax withholding to make sure you have the right amount of tax withheld from your paycheck.

If you are claiming exemption from federal income tax withholding, the W-4 is valid for only one calendar year. You must complete a new Form W-4 by February 15 of the current year to continue to be exempt from withholding. If you do not complete a new Form W-4 by February 15, tax withholding will be single with no other adjustments. Return the completed, signed form to your timekeeper, payroll coordinator, or personnel office for processing before or by February 15th.

You may also use Employee Express to change your federal tax withholding. For more information, please look at our Employee Express section. NOTE: Employee Express will accept a maximum of four digits ($9999) for additional tax withholding.

Each state or municipality prescribes its own procedures for notifying your employer of any exemptions to which you may be entitled. Completing and submitting a Form W-4 to change your federal tax withholding will not necessarily change the calculation of your state/local taxes, depending on the requirements of your state/municipality. In order to change your state or local tax withholding, you should obtain the form prescribed by your state or municipality (which your local timekeeper, payroll coordinator, or personnel office may have), and return the completed form to your timekeeper, payroll coordinator, or personnel office for processing.

You may also make changes (for example, marital status, number of exemptions, additional dollar amount to be withheld) to your state tax withholding through Employee Express for all states except Alabama and Missouri. (However, you cannot change the state tax withholding from one state to another state.) For more information, please look at our Employee Express section.

If you discover that your wages and withholdings are being calculated and paid to the wrong state, you need to send a written, signed request to the Payroll Operations Division to change your year-to-date taxes and wages to the proper state. Your request should give the effective date of the change. Submit this statement to your timekeeper, payroll coordinator, or personnel office to forward to Payroll Operations Division.

The voluntary tax allotments will appear in Box 14 on your W2 with a number 8 designating them as voluntary tax allotments. You will need to report these amounts separately on your individual tax return as "estimated tax payments" and NOT "withholdings". All reconciliations will be conducted between the taxing authority and the employee (IBC will not be involved).
